  • What are Deluxe eChecks and how do I use them?

    • What is a Deluxe eCheck?

      Deluxe eChecks are simply regular checks that you can send and receive in just seconds using email. There’s no additional software or technology required and anyone with an email address can receive an eCheck.
    • So, it’s just a regular check?

      Other than the fact that you can send and receive them in just seconds using email? Yes, they’re exactly like traditional paper checks that you can deposit at your bank, at an ATM or using a mobile banking app. Each Deluxe eCheck contains the same elements as a traditional check including routing number, account number, signature line, amount paid, payee and check number.
    • How do I email a check?

      1.) Create a free profile at www.eChecks.com
      2.) Select the quantity of eChecks you’d like to purchase.
      3.) Start writing and sending checks at the speed of email (all you need is the recipient's email address).
    • How long will it take to set up my account?

      Setting up an account only takes a couple of minutes, however, before you can start sending eChecks, you’ll need to verify that you’re authorized to access the checking account being added. This verification process can take minutes or up to 48 hours, depending on the complexity of the required verification.
    • How do I pay for Deluxe eChecks?

      The only way to pay for eChecks is with an eCheck! Once you submit an order, the system will generate an eCheck payable to Deluxe for the amount of your order. But don’t worry: this eCheck will not come out of your order or supply.
    • Are there additional fees associated with Deluxe eChecks?

      No. Deluxe eChecks are a product that you purchase, not a service. Pay for the quantity that best fits your needs and that’s it: no subscriptions, contracts, monthly fees or hidden costs.

    • How long does it take for a Deluxe eCheck to reach the recipient?

      Depends on how fast you can hit ‘send.’ Because Deluxe eChecks are sent at the speed of email, your payment can reach them within seconds of being sent.
    • How many eChecks can I send out at one time?

      Hundreds, thousands or hundreds of thousands! The Deluxe eCheck platform was built for business and is saleable for enterprise application. Send as many eChecks as you want quickly, easily and affordably.
    • Can I send Deluxe eChecks internationally?

      Of course. You can send eChecks to anyone with a valid email address and they can be retrieved, printed and deposited in any country that accepts U.S. checks. Because of the unique banking regulations in other countries, however, we can’t guarantee that every bank in every country will accept an eCheck for deposit. We recommend sending a test eCheck for a small amount before creating a regular payment flow.
    • What if I send a Deluxe eCheck to the wrong email address?

      If you accidentally send an eCheck to the wrong address, you can void it before it has been retrieved and the recipient will no longer have access to it. If the check has been retrieved by the time you notice the error, it will still be made out to the original payee. Should the email address you use be invalid, you’ll receive a bounced email notification and you can void, then reissue, the eCheck to the correct address.
    • Can I stop payment on an eCheck?

      Yes, like a regular check, you can also put a stop payment on an eCheck. Simply contact your bank for the necessary details.

    • How do I receive a check?

      When you’re notified by email that you’ve received a check, simply retrieve it from our secure online system by clicking the “open this check” button. Then, simply print it out on any printer and cash or deposit it just like a paper check. It’s free and no registration is required.

    • Will banks accept my Deluxe eChecks?

      Yes. Deluxe eChecks are exactly like any other check accepted by your bank. If your bank does have questions, they can simply follow the directions on the check to verify its authenticity.
    • Can I really just print a check from a regular printer?

      Yes. Just like you can print airline and concert tickets from your own printer, now you can print your checks as well. Every Deluxe eCheck contains a digital fingerprint that cannot be forged and allows for easy verification.
    • Does a Deluxe eCheck work with Remote Deposit Capture (RDC)?

      Yes. Simply endorse the back of the check and you’re ready. Using your phone, mobile device or other optical reader, Deluxe eChecks can be easily processed.
  • Using Deluxe eChecks to protect against fraud

    • Will Deluxe eChecks keep my payments safe from check fraud?

      While no payment method is 100% safe from fraud, we’ve used over 100 years of check experience to create a patent-pending process designed to make Deluxe eChecks one of the safest payment methods on the market.

      • Limited touchpoints


        The typical paper check is touched by as many as 8 people from the time it’s issued to the time it’s cashed. That’s 6 interception points between the issuer and the receiver where fraud can be perpetrated. Once delivered, traditional checks can easily be taken from unattended mailboxes. Because Deluxe eChecks are sent directly from payer to payee, mailboxes and other interception points are eliminated.
         
      • Separation of controls


        Separation of controls simply means that we give you the ability to assign members access to your accounts, while delegating what functions they’ll be allowed to perform (create checks, sign checks, etc.).
         
      • Secure, online retrieval


        Though we talk about sending payments via email, Deluxe eChecks are not sent as an attachment. Instead, a link is emailed to the recipient and the check is retrieved from our secure, online system.

        Each Deluxe eCheck receives a complex, cryptographic time stamp that verifies, for your financial institution, the authenticity of every check issued.
    • Can a person print and deposit multiple copies of a Deluxe eCheck?

      Like traditional paper checks, an eCheck is a numbered transaction, each with a unique number to identify it. Depositing the same check repeatedly doesn’t work because your bank won’t release funds for the same check number more than once.

  • Integrating Deluxe eChecks with Quickbooks® Software

    • Are Deluxe eChecks 100% compatible with QuickBooks?

      Yes. You can use Deluxe eChecks with QuickBooks just like you always have with regular checks. The difference is, your payments will be delivered automatically via email saving you both time and money. In fact, the more emailable checks you send, the more you’ll save.
    • How do eChecks work with QuickBooks Online?

      Once you've established both a QuickBooks® Online and Deluxe eChecks account, link your QBO bank accounts to your eChecks checking accounts quickly and easily with the free Deluxe eChecks QuickBooks Online add-on. This one-time set up requires less than 10 minutes. Then, simply add email addresses to any vendors you want to pay with eChecks. Once set up is complete, all QuickBooks Online users with access to your company accounts can create/send eChecks as well as printed checks.
    • How do I use the QuickBooks Desktop Add-on to send Deluxe eChecks?

      Once you've established a Deluxe eChecks account, download the free Deluxe eChecks QuickBooks Add-on. This one-time set up requires less than 10 minutes. Then, simply prepare your payments like you always have using QuickBooks.
       
      1. Click on the Deluxe eChecks Add-on to pull information from QuickBooks.
      2. Hit send.
    • With what versions of QuickBooks does the Add-on work?

      Currently, we have one eChecks add-on for QuickBooks Online and one for QuickBooks Desktop (compatible with versions 2010 and newer; and windows 7 or newer windows OS).
    • What is an Add-on?

      Our Add-on is a simple, downloadable utility that works with QuickBooks, allowing you to easily create Deluxe eChecks without the need for double entries.
    • Is there a cost for the Add-on?

      No. We provide the Add-on free of charge for our Deluxe eChecks customers.
    • How easy is the QuickBooks Online Add-on set-up process?

      The one-time set-up process takes less than 10 minutes. Simply follow the directions in our step-by-step guide to link QuickBooks bank accounts to eChecks checking accounts. Once that's done, all QuickBooks users permitted to access your company accounts will be able to create/send eChecks as well as paper checks.

      NOTE: the person using the app to connect QBO and eChecks accounts needs proper permission levels. They must be both an Administrator on the QBO company file(s) and the Owner of the eChecks checking account(s) being linked.
    • How do I send Deluxe eChecks through QuickBooks once the app has linked the accounts?

      • Add email addresses to your vendor records
      • When adding a check for Bill Payment, use a QBO bank account linked with eChecks
      • Select the Print Later box
      • Hit SAVE

    • Who can send eCheck payments through QuickBooks Online?

      Once the add-on set-up is complete (meaning the accounts have been linked), any users permitted to access your QuickBooks Online company accounts to write checks will be able to send eChecks as well as paper checks.
    • What happens if my QBO vendor record doesn’t have an email?

      If there is no email address in the email field of the QBO vendor record at the time of check creation, it will prevent the issuance of an eCheck. In this case, an email notification will be sent notifying the QBO Company Administrator that the transaction could not be processed and requesting that they add an email for this vendor.
    • How will I find out if something went wrong with the creation of my eCheck?

      If there was an error with the creation or delivery of the eCheck, the check creator will receive an email notification with a specific error message. Another way to see if there was an error on the eCheck is to look at the memo on the check. The memo field is automatically updated identifying any errors that must be fixed.
    • How do I send attachments?

      Attachments can be added to the eCheck, until the check has been processed and delivered. Attachments can be added at the bottom of the screen when creating a check/bill under Attachments. If an attached file is added after the check was processed, the attachment will not be delivered to the payee.

      Attachments can only be retrieved by the recipient if they have a FREE eChecks Lockbox Account. If the recipient does not have a Free eChecks Lockbox Account, the email with the check will prompt the recipient to create an account.

      NOTE: There are both file size and file type limitations for attachments. eCheck file size restrictions verify that attachments cannot be under 4KB nor larger than 50 MB. Valid file types that can be attached to QBO payments made with eChecks are: "jpg", "jpeg", "png", "pdf", "tiff", "tif", "eps", "svg", "csv", "txt", "x12-835".
    • How do I include remittance data with the eCheck?

      Remittance data can be entered by the check issuer during the process of creating the check by adding columns under the Account and Description options on the check writing screen. Five fields of remittance data can be passed with bill payments, three columns of remittance information can be sent with payments. There is no limit to the number of remittance lines (so, once the 5 fields are defined for a bill payment, any number of bills associated with that payment can be included). When included, remittance information will appear as a second page following the eCheck when it is printed off by the recipient.

      Note: Remittance information can be added or edited at any time prior to the eCheck being processed.
    • What is the difference between adding an attachment and sending remittance data with an eCheck

      If an attachment is sent with the eCheck, it will appear as an attached document in the eCheck lockbox. This means that first time payees (check recipients) will not see the attachment if they use the Retrieve as Guest option. Instead, the payor (check sender) should notify the payee that they will only be able to download/view/print attachments if they establish a (free) eCheck user account (which automatically comes with a lockbox).

      Remittance data passed with the eCheck will be delivered as part of the payment as an automatically generated second page of the check PDF. Recipients receiving eChecks with remittance data can retrieve the check as a guest if they do not have an eCheck account or via their eCheck lockbox if they have an eChecks user account.
    • What happens if I want to pre-date or post-date an eCheck payment?

      eChecks cannot be pre-dated, but they can be post-dated. If you change a check to a future date, QuickBooks online will hold that check until midnight of the selected date.

      NOTE: The time of the eCheck reflects is the check issuer’s time zone. All eChecks sent via QBO have the same eCheck user as the check issuer. This user was designated during the set up process when the QBO and eChecks accounts were linked. This user can be changed via the eChecks QuickBooks Add-on configuration app.
    • How do different user time zones affect the eCheck issuance date/time?

      The date and time of the eCheck reflects the check issuer’s time zone.

      For example, if a check issuer in New York (EST) schedules a check to be sent to a recipient in Minnesota on June 15 at midnight (EST), the recipient would get the check on June 14 at 11:00 p.m. (CST).

      NOTE: All eChecks sent via QBO have the same eCheck user as the check issuer. This user was designated during the set up process when the QBO and eChecks accounts were linked. This user can be changed via the eChecks QuickBooks Add-on configuration app.
    • How do I know how many eChecks I have?

      The number of available eChecks is determined by the ‘eChecks Remaining’ count associated with the Checking Account you’ve linked to your QuickBooks Online accounts. To view this information, an Administrative user needs to log in to the eChecks account and view the balance on the eChecks Checking Account. Once logged in, you’ll see the dashboard with two green boxes; Send Checks and Receive Checks. Under the green box for Send Checks, you will see eChecks Created and eChecks Remaining.

      When you are running low on eChecks, we’ll send an email notification to all users with Administrative rights on the eChecks checking account prompting a reorder.
    • Do I have to log in to the eChecks.com site to write eChecks?

      Once the initial set-up process linking accounts is complete, all check writing activities are done solely within QuickBooks Online. However, there are some functions – performed by Administrative users – that will occasionally need to be performed within the eChecks account. Examples of these transactions are: re-ordering eChecks, voiding eCheck payments, etc
    • How will a QBO vendor credit transaction be handled if the payment is issued as part of an eCheck transaction?

      Vendor credits can be added to QBO payment transactions sent via eChecks by first creating the vendor credit, then applying that credit to the corresponding bill for which a payment is being made. Recipients receiving eChecks with a vendor credit will see the credit listed as part of the remittance fields that appear on the second page of the check PDF file.
